Event Coordinator

Position: Event Coordinator
Department: Administrative Services
Reports to: Executive Director, Program Directors

Summary:    

This is a professional full time position providing event coordination for the Oregon High Desert Classics, Bowl for Kids Sake, and Comedy for Kids Sake. Responsibilities include, but are not limited to the fundraising, planning, promotion and production of all of these events.  Full time, variable, 32-40 hours per week.  Ability to work flexible hours, evenings and weekends as needed for the events.

Duties:

  • Development, sponsorship, organization and promotion of the following annual fundraisers: Oregon High Desert Classics Horse Show, Bowl for Kids Sake, and Comedy for Kids Sake
  • This includes working with the team at J Bar J
  • This includes developing budgets and developing sponsors  
  • Ensure compliance with insurance, legal, health and safety obligations
  • Proactively handle and problem solve any event coordination issues during events
  • Serve as a representative of J Bar J Youth Services in the community
  • Meet with BBBS Advisory Team to provide information and feedback for upcoming fundraisers
  • Assist Marketing/Creative staff in coordination of Social Media for Events
  • Assist Program Directors and Executive Director
  • Coordinate any other events as needed

  • Excellent written, verbal, and problem solving abilities
  • Strong organizational skills
  • Ability to be creative, to be willing to change and adapt as needed, ability to stay calm under pressure, and help in any capacity
  • Ability to interact with major donors, and ability to request sponsorships
  • Ability to travel within the community
  • Open to having stretch goals
  • Demonstrate ability to prioritize assignments for timely completion
  • Ability to effectively plan, implement, and follow through with fundraising events
  • Ability to work with company staff and community volunteers
  • Ability to interact positively with donors, community members, staff, etc. on the phone, email or in person
  • Knowledge of J Bar J Youth Services programs

 ExperienceandTraining

  • BA/BS degree preferred. Valid Oregon Driver’s license. Computer proficient, with skills in all Office programs and some social media experience a plus.
